Clinical Research Organization (CRO)

A Clinical Research Organization (CRO) that supports early stage clinical trials for biotech and pharmaceutical companies was looking to move from paper-based workflows to 21 CFR Part 11 compliant document management processes. The company manages nearly half a million documents, and needed an automated workflow that was cost effective and allowed for integration with other internal systems and one that ensured that audit trails and electronic signatures met regulatory requirements.

Working with Micro Strategies this CRO was able to implement Alfresco's open architecture document management system creating a flexible solution that integrated with their existing infrastructure. With this new system and the MSI Profiler, users and the executive team now track documents in more efficient ways, reducing errors, and improving workload management.

The company now uses these capabilities as a differentiator versus other CROs when they compete for new business. The current Alfresco repository holds more than 200,000 documents and 375 gigabytes of data.

Art / Image Workflow Management: Document capture of certain documents requires the use of high- end digital cameras. This approach requires that each image or page be handled as an individual file. Maintaining the relationship between images and pages is crucial to the success of the solution. The MSI Profiler plays a special role in assigning properties to a document, and it provides users with the ability to both square and crop the image in a very streamlined manner.

Forms Processing (PDF "Fillable" Forms): An import module available for users of the MSI Profiler is the ability to have a "flat" PDF form be converted to a "fillable" form during processing. This allows users to update forms directly and to automatically pass the form data to the Alfresco properties of documents. PDF forms can also be pulled into the Alfresco repository and their form data pulled and stored as either document properties or as an export file to be loaded into another system. These properties can be used to trigger events such as workflows.

Contracts Management: Managing a contractual document from creation through renewal and expiration can be done easily with Alfresco, WeWebU and Kofax. This combination allows users to start the process in Microsoft® Word, route the document for approval, receive and scan the approved document and ensure it's managed through renewal and expiration.
