The Problem with Managing Contracts Manually

Contracts are full of critical information. Obligations. Clauses. Payment terms. Escalation schedules. But most of that information stays buried inside a PDF, where it is hard to find, hard to extract, and easy to miss.

The result? Compliance gaps. Missed obligations. Hours of manual review. And duplicate documents that get processed more than once because no one caught them the first time.

There Is a Better Way

Micro Strategies built a contract management and deconstruction solution using M-Files and SharePoint Embedded. The solution works directly inside Microsoft Teams, so your team does not need to leave the tools they already use.

Here is what it does automatically once a contract is uploaded:

1. Classifies and Files the Document: M-Files reads the contract and extracts key metadata, including customer name, effective date, expiration date, and contract value (including calculated values). It assigns the correct document class and files it with the right metadata. No manual tagging required.

2. Extracts Key Clauses – The solution pulls specific clauses from the contract. Common examples include escalation clauses and paid-in-full clauses. The clauses are tagged and linked back to the original document, so everything stays connected.

3. Surfaces All Contract Obligations – Every obligation identified in the document is extracted, tagged, and organized. Your team can quickly review them instead of reading through pages of dense contract language.

4. Converts PDF Tables to Excel – Flat tables inside a PDF are not easy to work with. The solution automatically converts every table in the document into a separate tab inside an Excel workbook. Table names are pulled from the original document when available.

5. Detects Duplicate Documents – If a contract has already been processed, M-Files flags it. Your team can decide how to handle it: process it again, version it, alert a reviewer, or block it entirely.

Everything in One Place

Once the contract is processed, all components are linked together inside M-Files. The original document, the extracted clauses, the obligations, and the Excel workbook are packaged and ready to share or send for review.

What This Means for Your Team

Contract review gets faster. Compliance risk goes down. Your team spends less time searching and more time acting on what the contract says.

And the data does not stop at the contract. Once extracted, it moves into the tools your team already uses, whether that is Excel, Salesforce, Workday, or another system. No copy-pasting. No manual re-entry. The right information gets to the right place, ready to use.

Frequently Asked Questions

Can we customize which clauses get extracted?
Yes. The solution can be configured to extract different clause types based on your contract types and business needs.

Does this work with our existing SharePoint setup?
The solution uses a SharePoint Embedded M-Files repository, so it is designed to fit into your existing Microsoft environment.

What happens if someone uploads the same contract twice?
M-Files automatically detects the duplicate. You choose how the system responds: block processing, create a new version, or send an alert.

Can we use this for contract types beyond vendor agreements?
Yes. The extraction framework is flexible and can be applied to different contract types and document structures.

Can I use extracted data in other systems?
Yes. Once a contract is processed, the extracted data can be pushed directly into the business applications your team already uses, including Salesforce, Workday, and custom-built systems. No manual re-entry required.
